Delete an item

Delete removes an item for good. Archive keeps it and can be undone.

There are two ways to take an item out of your working catalog, and they do very different things. It is worth two minutes to know which is which before you press one.

Delete and Archive item are two controls

Open the item and look at the bottom of the details panel.

  • Delete is the red button beside Edit Details.
  • Archive item is the plain link underneath it.

Archive item disappears once an item is already archived, so if you cannot find it, check the item's Status first.

Delete is permanent

Choose Delete and RareSync asks you to confirm. Read that box. It says the item will be permanently removed and that this cannot be undone, and it means both.

Once you confirm, the item and everything you wrote about it are gone from RareSync. There is no archive to fish it back out of, no bin, and no undo.

Keep Delete for a duplicate or a mistyped item you never want to see again. For anything you might want back, archive it.

Archive is the one you can undo

Choose Archive item and the item's Status becomes Archived. The item, its photos and its details all stay where they are. It drops out of the normal catalog list, and everyone in your workspace stops seeing it there.

Change the Status back and the item is live again, exactly as it was.

Find something you archived

The catalog shows live items only, so an archived item looks gone until you ask for it.

  1. Open Catalog.
  2. Open Filters and Sort.
  3. Set Status to Archived.

Items with sizes or colours

Both controls treat the whole group as one thing, so you never work through the sizes one at a time.

Delete the main item and every version under it is permanently removed with it. Archive the main item and every version is archived with it.

Deleting the last version left under a main item takes the main item too, since nothing would be left underneath.

Who can do which

Owners and Admins can delete. Members cannot, and the Delete button is not drawn for them at all.

What your store sees

The two controls part ways here as well.

Deleting does not touch Square or Shopify. The listing stays up in your shop, and you have to remove or unpublish it there yourself. Check both places when you are clearing out old stock.

Archiving does reach your store. The next sync retires the listing for you, as long as the item had already been sent there. An item your shop has never seen has nothing to retire.
